Responsibilities:
1. Assists site leader on employee communications and site events / projects / activities
a. Support Neihu office site leader on site coordination for employee communication, all employee meetings, office facility and safety relevant administration.
b. Assist in the planning and preparation of site town hall, conferences and conference telephone calls, including meeting room set up, all the visitor need arrangement and presentation material collection and consolidation.
c. Assist site leader on office key projects in relation to office facility and employee safety eg office removal requirement collection and consolidation.
d. Assist in site events and activities planning in relation to all employees, such as sites survey, join workforce team for Year-end party and team building, assist Corp activities and EOS action plan.
e. Work closely with site leader and employees to improve work relationships, build morale, increase productivity and culture shaping.
f. Ad hoc tasks assigned by site leader.
2. Assist Neihu office leaders (director level and above) and senior leader visitors on travel and office needs
a. Support Neihu office leaders (director level and above) on name card ordering and all travel requests (hotel / flight / logistic booking and confirmation)
b. Support senior leader visitor to arrange logistics service, hotel reservation and apply entrance visa and invitation letters.
c. Support senior leader visitor on all the office needed and assist to reserve the office meeting room.
d. Helping leaders for the restaurant reservation with the customers or visitors.
3. Local facility coordinator on various office support services
a. Local facility partner of Jihu office. Follow up with facility team on the repair and maintenance of Jihu office equipment.
b. Major contact person with Singapore facility team. Work with local facility partners and facility team to address local facility issues for Jihu and Ruiguang offices.
4. Supporting Jihu office shipment for urgent needs and Ruiguang office when front desk is away.
a. Package custom duty fee collecting.
b. Assist Jihu office on sending and receiving shipment for temporary or urgent needs.
c. Support Ruiguang office shipping arrangement when front desk is away.
Requirements:
• Good command in both written English and Chinese
• Excellent interpersonal, coordination and organization skills
• Good communication skills for interacting with internal across different level and external partners.
• Sound knowledge of Microsoft Office
• Positive interaction with members of the office
• Pleasant with can do attitude
• High ethical and integrity standard
• Work experience in MNC company is an advantage
Experience:
• At least 4-5 year experience in supporting senior leaders and office admin
Education:
• Bachelor degree Major in B.S or B.A or Tertiary education equivalent.
