SIM Design is looking for an Office Assistant to support the studio daily business and administrative functions. We are looking for someone with exceptional attention to detail, enjoys working independently, loves relationship building and problem solving, and has the flexibility to manage all types of company transactions from large to small. Given SIM's small size, this role will require a start up entrepreneurial attitude and the willingness to chip in. This role will have various responsibilities including basic administration and HR, business development support, project co-ordinations, all critical to the success of the company. Responsibilities:
- Act as the point of contact between the directors, team, and other external partners
- Manage information flow in a timely and accurate manner
- Must be detailed oriented and be unafraid to ask questions to clarify
- Provide business research and market analysis support
- Prepare expenses and related accounting reports
- Manage executives' calendars, set up meeting, and take meeting minutes for any director that is away
- Keep up with office supply inventory and vendor management
- Manage new members onboarding / offboarding tasks, team’s time records, welfare activities, leave tracker and year end untaken leave and other assignments as required
- Screen and direct phone calls, distribute correspondence, other ad hoc administrative tasks
Skills
- Work experience as an Secretary, Office Administrator, Personal Assistant or similar role
- Excellent google documents/MS office knowledge
- Outstanding organizational and time management skills, creative and willing to take work independently
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Willing to work in an irregular, fast paced environment
