About the role:
This role will provide comprehensive support to the Facility Manager and act as the main point of contact for local stakeholders to focus on understanding and addressing their requirements. As a team, we achieve this by efficiently coordinating all facilities and services to meet or surpass service-level agreements with our valued customers. In addition, the role involves effectively managing the team, utilizing industry best practices, and implementing streamlined methodologies, processes, and technologies. We align our approach with our clients' business strategies, financial objectives, site requirements, and standards. Furthermore, we ensure compliance with local regulations, JLL policies, and customer guidelines to maintain a high level of professionalism.
What this job involves:
[Operations and Maintenance]:
1. Develop and implement a comprehensive capital renewal program to effectively manage the life cycle of assets.
2. Independently handle small projects, including space upgrades, refurbishments, Lab/Shielding Room setups, and internal relocations, and provide expert advice on air and power consumption, floor loading, and other related factors.
3. Establish and regularly report on EHS programs, monitor energy, water, and waste usage for efficiency improvements, and identify opportunities for cost savings.
4. Source, select, contract, oversee, and manage service providers or tier-two on-site staff to ensure consistent service standards across various areas, including Helpdesk work, Mailroom, Housekeeping, employee service, and F&B.
5. Collaborate with the Engineering Lead to coordinate maintenance schedules, including soft services, and supervise workers in central office environments.
6. Manage financial aspects, including budget planning, execution, and ongoing management in both Opex and Capex categories.
[Customer Service and Satisfaction]:
1. Ensure a consistently high level of facility management service delivery to customers by overseeing and monitoring operations.
2. Assist the Facilities Lead in implementing local and regional initiatives, with a focus on enhancing customer satisfaction, improving employee service, optimizing site operation expenses, and driving performance.
3. Develop and provide an annual plan for the upcoming year, including comprehensive communication strategies, event support, and PPM activities during the last quarter of each financial year.
4. Execute plans within the defined scope, schedule, and budget.
5. Collaborate with the Facilities Manager to develop and implement site-level facility management strategy plans, detailed process playbooks, and site operation manuals, complete with an escalation matrix.
6. Manage the work order management platform, ensuring timely dispatch of service requests, monitoring workload volumes, measuring service level responses, and collecting and analyzing customer satisfaction feedback.
[Relationship Management]:
1. Develop and nurture a strong Landlord relationship program that aligns with the goals and expectations of the RE&F department.
2. Act as a liaison between the Facility Manager, JLL personnel, and vendors, and take charge of assigned tasks within the FM team.
[Reporting and Communication]:
1. Generate accurate and consolidated reports on facility operations for the entire Taiwan portfolio (including weekly, monthly, quarterly, and annual intervals) and deliver them promptly to the Facilities Manager.
[Technology and Data Management]:
1. Establish and maintain an efficient and reliable technology platform to support automated business processes and ensure effective data management.
[Emergency Response and Safety]:
1. Coordinate and maintain the accuracy of the ERP, including supporting the annual Fire Drill and providing a comprehensive report.
[Inspections and Supervision]:
1. Proactively conduct monthly site inspections and daily patrols to ensure the overall upkeep and maintenance of the facilities.
