The CEO/Portfolio Manager of a private investment firm in Dazhi, Taipei is search for an Personal/Executive Assistant position filled with someone who has flawless attention to process and procedures. The role requires working one-on-one with the CEO, performing traditional administrative duties such as personal travel arrangements, investment portfolio management, data entry, special research projects, assisting with personal projects, and expense reporting.

We are based in Dazhi Taipei with investments in New York, United States. The job timeframe requires the person to work from the hours of 1PM-11PM (expect longer hours than usual). This timeline will require flexibility to adjust with the portfolio managers schedule.
Specific Description:
• Manage scheduling
• Draft, review and send communications
• Organize and prepare for meetings, including gathering documents and
organizing internal file network
• Prioritize emails and respond when necessary
• Make personal travel and accommodation arrangements
• Maintain various records including but not limited to data entry on investment
Portfolio, expense reporting, and research tracking information
• Maintain general office
• Research, organize, and lead personal projects
• Act as the point of contact among employees and other external partners
• Manage information flow in a timely and accurate manner
• Rack daily expenses and prepare weekly, monthly or quarterly reports
• Oversee the performance of other clerical staff
• Act as an office manager by keeping up with office supply inventory
• Format information for internal and external communication – memos, emails,
Presentations, reports
• Take minutes during meetings
• Screen and direct phone calls and distribute correspondence
• Organize and maintain the office filing system (Network Portal)

Qualification
• Work experience as an Executive Assistant, Personal Assistant or similar role
• Excellent MS Office knowledge
• Outstanding organizational and time management skills
• Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
• Excellent verbal and written communications skills
• Discretion and confidentiality
• Experience in the finance industry, specifically, investment sector would be a major plus
