【Position Summary】
The Administrative & HR Specialist is responsible for supporting daily operations related to administration, general affairs, and HR functions, ensuring smooth and efficient back-office processes.
This role also acts as the primary contact for external vendors and service providers. The ideal candidate should possess strong administrative management skills, basic IT system operation abilities, and a high level of attention to detail in supporting HR tasks. The role requires the ability to manage multiple responsibilities in a dynamic and flexible work environment.
【Job Responsibilities】
1. Administrative Operations & General Procurement (60%)
- Handle general procurement tasks and manage the fixed asset inventory; assist in equipment maintenance.
- Serve as the main contact for external vendors and service providers; assist with price inquiries, quotation comparison, purchase orders, delivery tracking, and and inspection upon delivery of goods.
- Assist with the setup and management of user accounts and permission controls for systems such as Google Workspace and Microsoft 365 (basic system operations; technical issues can be assisted by service provider )
- Perform routine administrative tasks, including mail handling, meeting room reservations, administrative expense reimbursements, and document management (e.g., scanning and filing)
2. HR Support (40%)
- Assist in reviewing monthly employee attendance data, including verification of clock-in/out records, leave applications, and overtime hours
- Support onboarding and offboarding processes, including preparation of necessary documents and updating of HR systems
- Consolidate and update employee records; ensure accuracy and completeness of data in the HR system
- Assist in recruitment tasks such as job posting, resume screening, and interview coordination
- Support employee engagement activities and training programs, such as annual parties, seminars, and health check-ups
【Requirements】
★Must-Haves★
- Associate degree or above, with at least 1 year of relevant experience in administrative or HR support roles
- Proficiency in Google Workspace, Microsoft Office, and other common office software
- Strong communication, coordination, and problem-solving skills
- Highly responsible, detail-oriented, and capable of working independently
- Strong compliance mindset, and awareness of information security and company policies.
- Willingness to learn new systems and perform basic backend operations in coordination with external vendors
- Intermediate proficiency in English

- Experience in IT account administration or system backend tasks
- Experience using HR information systems (HRIS)
- Familiarity with procurement processes or fixed asset management
- Japanese language skills are a plus
