(Sr.) Secretary

Job Purpose:
1. Develop Office policies and procedures, measure outcomes against standards, and improve operational flow when identified.
2. Assume the coordinator and assistant role for the Division(s)/Team(s) to enable the team to meet project goals and deliverables.
3. Work with minimal guidance to carry out a wide range of administrative duties as outlined below, with a strong emphasis on organization and proactive coordination of activities.

Responsibilities and Accountabilities:
1. General Administration
-Supervise general administration and develop, review, and improve policies, systems, and procedures, and generally ensuring the office operate smoothly and efficiently. And work with SHE officer to ensure that policies and procedures have meet the local government regulation and global SHE guideline.
-Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained as well as working with accounting and management team to set budgets, and monitor spending.

2. Facility Management
-Responsible for office facility management which includes to be the main contact for the Nan Shan Building management, and work with respective external vendors.
-Develop, review, and improve policies, systems, and procedures of the facility management, and work with SHE officer to ensure that policies and procedures have meet the local government regulation and global SHE guideline.
-Accountable for services such as cleaning, security and parking, to make sure the surrounding environment is in a suitable condition to work, and to work with respective external vendors.
-Manage any building maintenance with things like heating and air conditioning, to maintain the working environment.
-Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested

3. Administrative Support
-Exercises independent judgment and discretion with sensitive/confidential and proprietary information
-Acts as the team "go-to-person" for general operational or administrative questions or other inquiries
-With high attention to detail, plans, coordinates and manages a complex and dynamic calendar that includes coordination of personnel in different geographical regions/time zones. Calendar may include meeting scheduling, resolution of scheduling conflicts, scheduling appointments with external guests and officials, and interviews as necessary.
-Organizes management travel and prepares expense reports
-Participates in planning of divisional and team level activities and events (e.g. division meeting, cycle meeting, events initiated by sales team)
-Processes contractual agreements with vendors, payment request, and purchase orders
-Provides orientation and guidance to new comers

4. Project-Based
-Works on complex assignments, projects as an individual contributor or cross functionally. Such assignments require professional judgment and initiative in resolving problems and making recommendations.
-Provides support on editing and formatting meeting documents, materials and/or presentations, gathering information or conducting analyses to support the Division Head(s) and other team members

5. Operation Excellence
-Streamlines and reduces unnecessary administrative or operational burdens for the team
-Champion for Contract system
-Manages the process of contract creation and execution at responsible division(s)/Team(s).
-Monitors the approval and signature of both contract parties as well as the compliant archiving and contract related documents aligned with company SOP.
-Manages the payment process after the contract process is completed in system.

6. GM Chop Management
-Safeguard and manage GM Chop proceed with GM chop wet ink
-Documenting the process in GRACE is also required.

8. Safety reporting compliance: Ensure 100% of safety reports received are forwarded to Drug Safety Dept. within one business day of receipt.

  • 其它條件: -Qualifications and Experience:
    At least 5 years’ working experience in multinational companies as secretary

    -Education:
    Bachelor degree or above

    -Skills & Knowledge:
    1. Fluency in written and spoken English
    2. Strong computer skills (e.g. gMail, gDrive, G+, Microsoft Office, Internet, etc.)
    3. Good communication / interpersonal skills
    4. Demonstrate effective time management and organizational skills
