[Reception Function]
* Act as the first contact point of all visitors, internally and externally.
* Serve as the general call handler for incoming/outgoing calls and messages.
* Handle all the mails/packages/couriers and ensure all the items are signed for and promptly delivered.
* Maintain meeting room bookings and provide meeting arrangement supports, such as refreshment and set-ups.
[Facility Function]
* Assist with facilities and property maintenance: facility and equipment repairs, maintenance scheduling (weekly, monthly, quarterly, annually)
* Manage pantry and office supplies and ensure the cleanliness of the office/pantry/open area environment.
* Administer contracts for various services related to property operation and maintenance, such as janitorial, security, engineering, fire safety, IT room and so on.
* Handle access control: access card production/distribution as well as daily access controlling at end of the day.
* Assist with payment and procurement processes on facility and maintenance items, including obtaining quotes from vendors, onboarding new vendors and preparing payment requests, to ensure all items are well taken care of and all invoices are paid on a timely manner.
* Monitor the quality of services and goods provided by vendors and review the costs/services/goods on a monthly basis.
[Business Support Function]
* Provide extra assistance on ad-hoc tasks
* Demonstrate the willingly to take on any other assigned duties as required by line managers.
* Serve as an accountable back-up for line managers or when additional help is needed.
