About the role:

What this job involves:
[Daily Operation Support]:
1. Provide space management support.
2. Oversee daily operations, including soft services and handling user requests.
3. Serve as the lead front desk and trainer for the new Facilities Administrator (FA).
4. Offer support and backup for reception and mailroom duties as required (e.g., during lunch breaks or when teammates are in meetings or on leave).
5. Manage the Corrigo System, such as GSC (Global Site Check), ad-hoc work, / PPM work, etc.
[Office Admin & Leadership]:
1. Develop and improve SOPs for various areas, including reception, mailroom, temporary parking, car leasing, access card management, etc.
2. Provide assistance and serve as a backup to the Assistant Facilities Manager (AFM) during emergencies or as needed.
3. Assist in preparing Daily Reports, Weekly Reports, and Monthly Management Reports.
[Finance & Procurement Support]:
1. Oversee vendor and contract management.
2. Assist with budget planning and cost control activities.
3. Handle procurement and finance processes, including vendor selection, RFQ/RFP inquiries, cost approvals, PO issuance, payment processing, etc.
[Project/Event Support]:
1. Assist with global and local initiatives.
2. Manage MAC (move and change) projects and POP (post-occupancy projects).
