Job Description • Provide secretarial supports to executive clients • Facilitate with events and large meeting organization • Coordinate with key counterparts, either internal or external • Work proactively and independently to support regular meetings • Administrative support to day-to-day activities or any assigned task requirements • HR Admins Support -- New hire preparation (Name card, Badge, workstation, Lockers, Seat, Corporate card etc.) -- Prepare and conduct new hire onboarding Requirements • Bachelor's degree or equivalent in business administration or related field preferred • Proven experience as an office administrator, secretary, multi-national environment or similar • Excellent oral and written communication skills both in English and Chinese • Strong Microsoft Office suite, Excel and pivot table skills, PowerPoints knowledge • Responsive, proactive, self-motivator with excellent service attitude • Work accurately, work independently with minimal supervision, under deadline situations in a new environment. • Strong organizational and time management skills, with the ability to prioritize and multitask. • Attention to detail and accuracy. • Excellent inter-personal skills, with mature, positive & flexible demeanor and professional behavior Admin Skill: 1. schedules appointments / maintains client’s calendar 2. meeting room booking 3. travel arrangement 4. visitor foreign executives support 5. expense claim 6. scans/logs incoming mails 7. event / dinner coordination and arrangement 8. buy lunch/teatime snack 9. Other Admin tasks per request 10. HR basic knowledge and sense
