Visa Coordinator

Position Summary
We are seeking an organized and detail-oriented Visa Coordinator to manage the internal flow of information for employee visa applications. In this role, you will be the central point of contact between employees and our external travel agent. Your primary responsibility is to ensure employees provide all necessary information and documents correctly, collect them, and deliver a complete, accurate package to the travel agent, who then prepares the final application. Your efficiency is key to a seamless and timely process.
Key Responsibilities
Primary Liaison with Travel Agent:
Serve as the single point of contact for the external travel agent for all company-related visa applications.
Receive and understand specific document checklists and requirements from the travel agent for different visa types and countries.
Submit fully completed information and document packages to the travel agent.
Relay any follow-up questions or requests for additional information from the travel agent directly to the employee and collect the response.
Employee Guidance & Information Collection:
Clearly communicate the visa process, timelines, and required employee-provided information (e.g., passport scans, personal details, travel history) based on instructions from the travel agent.
Assist employees in understanding what information they need to provide for the forms the travel agent will complete.
Collect, review, and compile all documents from the employee (e.g., passport copies, photos, personal financial statements) for completeness and clarity before forwarding to the agent.
Obtain necessary internal approvals or data (e.g., cost center codes, project names) from HR or management to provide to the travel agent.
Quality Control & Process Management:
Perform a thorough review of all employee-provided documents to ensure they meet the agent's specifications (e.g., passport validity, photo format).
Maintain a tracking log of all applications, their current status, and key deadlines.
Ensure the secure and confidential handling of all sensitive employee documents.
Required Qualifications and Skills
Experience: Previous experience in a coordination, administrative, or customer service role is essential. Experience in travel administration or as a liaison with external vendors is a strong plus.
Strong Communication Skills: Ability to act as a clear and effective bridge between the employee and the travel agent.
Proficiency in Microsoft Office Suite (especially Outlook, Excel for tracking, and Word).
High Level of Discretion when handling confidential information.
Preferred Qualifications
Familiarity with basic visa types (e.g., Business, Tourist) is advantageous but not required, as the travel agent provides the expertise.
Experience in a shared services or HR support environment.
