Office Administration & General Affairs: • Maintain daily office operations and ensure all facilities and equipment (printers, water dispensers,air conditioners, fire inspection systems) function properly. • Provide daily office support, including receiving packages, distributing mail, and greeting visitors. • Manage company office and daily supplies, including stationery, tools, books, snacks, beverages, alcohol for company events, and exhibition supplies. • Procure and handle payment/reimbursement for company events and exhibition supplies. • Manage access control and security systems, coordinate with vendors for related services. • Support company event planning and vendor contract administration. • Assist with vendor contracts and manage relationships with new and existing suppliers. • Handle advances and reimbursements for office, events, and exhibition-related expense. • Uphold a strict level of confidentiality. Travel and Accommodation arrangement: • Communicate with employees traveling for business and arrange flight information. • Manage flight and accommodation bookings for employees, ensuring schedules are well-planned and within budget. Maintain, coordinate and execute senior Executives’ schedule: • Coordinate Executives’ calendar and schedule, and ensure their schedules are followed and respected (schedule meetings, appointments, travel, accommodation and calls via appropriate channels, events, appointments, and ensure their time is being allocated as needed and to the highest priorities, timeline expectations, and key relationship management) • Assist the Executives with daily administrative duties that include but are not limited to completing expense reports, arranging complex and detailed travel plans, itineraries and agendas. • Uphold a strict level of confidentiality. Other tasks assigned by senior Executives: • Perform ad-hoc assignment from senior Executives with high accuracy and efficiency. • Uphold a strict level of confidentiality.
