Position Overview
This position combines front desk and student affairs responsibilities, including answering mainline calls, greeting visitors, administrative assistance, and supporting daily student-related operations to ensure smooth functioning of school affairs.
Key Responsibilities
• Reception & Communication:
Answer and transfer phone calls in both English and Chinese, greet visitors, handle general inquiries, and support internal communication.
• Order & Administrative Tasks:
Track and purchase orders for events; assist with printing, binding, laminating, and distributing documents.
• Mail & Package Handling:
Handle daily delivery and dispatch of mail, packages, and school documents, including use of carts and lifting.
• Attendance & Leave:
Complete attendance entry on time, manage sick/leave requests, and contact parents for absence verification.
• Event & Exam Assistance:
Support event logistics and reminders for entrance exams, parent conferences, and provide onsite support during exams.
• Lost & Found / Announcements:
Maintain lost-and-found records and assist with fluent English announcements for students.
Qualifications & Skills
• Strong organizational and multitasking skills
• Excellent communication and customer service skills in English and Chinese
• Proficiency in Microsoft Office and Google Workspace
• Detail-oriented and capable of independently managing administrative tasks
• Prior experience in front desk or school administrative roles is a plus
• Driver’s license and personal vehicle required
• Willingness to support school events per the official calendar
• Able to provide a police clearance certificate
