The Logistics Coordinator, Taiwan, supports the Global Trade Compliance & Logistics team in managing day-to-day international shipment operations. This position focuses on shipment coordination, vendor and freight forwarder communication, document verification, and shipment tracking for global freight, primarily from Asia to North America. The role requires a detail-oriented, proactive, and quick learning individual who can communicate effectively with vendors, carriers, and the Canadian head office while maintaining accurate shipment and document records in Excel, Asana, and ERP systems. All estimated freight and duty values must be confirmed by the HQ Project Manager or Logistics Lead before entry.
Key Responsibilities
1. Shipment Coordination:
• Coordinate daily with vendors, carriers, and freight forwarders to arrange bookings and confirm cargo readiness.
• Ensure on-time container loading and accurate shipment scheduling.
• Follow up with vendors to resolve documentation or scheduling issues promptly.
• Track shipments from booking to arrival and provide timely updates to HQ.
2. Documentation:
• Read, understand, and verify shipping and logistics documents, including Commercial Invoice (CI), Packing List (PL), Bill of Lading (BL) / Air Waybill (AWB), Certificate of Origin (CO), Fumigation Certificates, and HS Codes.
• Understand and apply Free Trade Agreements (FTAs) such as LDCT, GSP and CPTPP when reviewing shipment documents and country of origin details.
• Ensure all documents are accurate, consistent, and meet import/export requirements.
• Organize and upload documents in shared systems for HQ reference and compliance review.
3. Tracking & Reporting
• Maintain detailed shipment trackers in Excel or ASANA.
• Support HQ in preparing weekly shipment status and exception reports.
4. System & Data Support
• Create and update Transport Costs (TCs) in ERP systems (MXP).
• Perform accurate and timely data entry using freight and duty values confirmed by HQ.
• Cross-check system data with vendor and forwarder records for accuracy.
5. Communication & Coordination:
• Communicate clearly and professionally with vendors, freight forwarders, and HQ.
• Escalate missing documents, discrepancies, or delays promptly.
• Suggest process and workflow improvements to enhance shipment accuracy and efficiency.
